ABOUT HOUSE OF WORSHIP CHRISTIAN CHURCH

The Church Administrator will oversee the daily operations and administrative functions of the House of Worship (HOW). This role ensures financial accuracy, operational efficiency, and seamless communication across departments. Working closely with the Senior Pastor, Financial Committees, Media Team, the Administrator will play a critical role in managing offerings, vendor payments, reporting, and church events.

WHAT YOU WILL DO

Financial Management

  • Record and reconcile digital and in-person offerings from various platforms (PayPal, Givelify, etc.).

  • Prepare and submit weekly financial reports to leadership, including detailed breakdowns of fees and deposits.

  • Reconcile all church bank accounts monthly and prepare financial statements.

  • Process and document vendor payments, ensuring timely and accurate transactions.

  • Manage payroll processing bi-weekly through ADP and document payroll information in QuickBooks.

  • Work directly with an Accountant to manage the accuracy of monthly financial reconciliation and quarterly and end of year tax and financial compliance reporting. 

Administrative Operations

  • Maintain and update donor records using onrealm.org and ensure contributor accounts are accurate and up-to-date.

  • Develop and manage the donation ledger, ensuring seamless data integration across all platforms.

  • Record all income and expenses in QuickBooks, categorizing them appropriately by designated accounts.

  • Prepare agendas for staff and board meetings, track actionable items, and ensure timely follow-ups.

  • Ensure compliance with governance standards by coordinating and restructuring board meetings as needed.

  • Serve as the primary point of contact for all church-related phone calls and emails, including follow-up communication with visitors, members, and other stakeholders.

  • Oversee administrative projects that support church leaders in planning and executing events, programs, activities, and services.

  • Develop, manage, and maintain the church calendar with a focus on short- and long-term planning, including monthly, quarterly, and annual project updates.

  • Update and manage church websites to ensure accurate and current information.

  • Manage email aliases and ensure efficient communication across teams and ministries.

  • Maintain and update visitor and member databases to support outreach and engagement efforts.

  • Create, manage, and distribute newsletters to keep stakeholders informed and engaged.

Communication & Coordination

  • Act as the primary liaison between the Senior Pastor, staff, and Media Team to coordinate in-person and online services seamlessly.

  • Respond promptly to congregants' inquiries via phone, email, and text regarding service details, special programs/events, offerings, and church updates.

  • Provide weekly operational updates and financial summaries to the Senior Pastor and Financial Committee.

  • Collaborate with team leaders to stay informed on ongoing projects and upcoming events, ensuring alignment and support.

  • Manage email and text communication systems daily to disseminate church updates, birthday notifications, reminders, and urgent announcements effectively.

  • Partner with marketing vendors as needed to develop or update marketing materials and ministry resources, including flyers, manuals, and presentations, for distribution across various platforms such as websites, newsletters, text communications, and social media campaigns.

  • Oversee the management of websites, WhatsApp groups, and social media platforms, ensuring they are updated and engaging.


WHAT WE ARE LOOKING FOR

Education & Experience:

  • Degree or coursework in Business Administration, Accounting, or a related field preferred.

  • Minimum of 3 years of experience in administrative, operational, or financial management roles, ideally within a church or nonprofit setting.

Technical Skills:

  • Proficiency in QuickBooks and Microsoft Office Suite (Word, PowerPoint, Excel).

  • Experience managing accounts payable/receivable and vendor relationships.

  • Familiarity with donation platforms such as PayPal, Givelify, and onrealm.org is a plus.

  • Competence in Canva or similar marketing tools.

Soft Skills:

  • Strong organizational and time-management abilities.

  • Effective written and verbal communication skills.

  • Ability to work collaboratively and uphold confidentiality.

  • Emotional intelligence and interpersonal skills to navigate diverse personalities.

Additional Requirements:

  • Ability to commute to Owings Mills, MD, and the Greater Baltimore area for meetings and appointments.

  • A professional home office setup with reliable internet, a functioning mobile device, and a laptop (required for initial onboarding).

  • Detail-oriented with a commitment to accuracy.

  • Financial literacy and budgeting experience.

Key Performance Indicators (KPIs)

  1. Financial Accuracy:

    • Weekly financial reports submitted on time with no discrepancies.

    • Bank reconciliations completed by the 1st of each month.

  2. Efficiency in Operations:

    • Vendor payments processed accurately and on schedule.

    • Digital offering data integrated into donor accounts within 48 hours of receipt.

  3. Communication & Coordination:

    • Meeting agendas prepared and distributed 24 hours in advance.

    • Staff, volunteers, congregants, and leadership are kept informed of operational updates weekly.

Challenges to Address

  • Streamlining offering collection and reconciliation across multiple platforms.

  • Transitioning from manual bookkeeping to electronic integration for efficiency.

  • Establishing consistent governance and structured financial oversight with the board.

Compensation, Schedule & Benefits:

  • Classification: Exempt, Part-Time

  • Compensation: Up to $25/hour

  • Schedule: Approximately 30 hours per week, Sunday through Saturday, between 8 AM and 6 PM

  • Workplace Flexibility: 80% work from home, 20% in-person attendance for as needed weekly meetings and events in the Greater Baltimore area

  • Paid Time Off: Up to 60 hours after a 6-month introductory period

  • Sick Leave: Up to 1 week of paid sick leave

  • Additional Benefits: Phone stipend and a company-provided laptop
